This Privacy Notice has been compiled in compliance with the General Data Protection Regulations (GDPR) which came into force on 25th May 2018. 

·Your personal data

‘Frances Philpot’ and ‘fpmusic’ are registered with the Information Commissioner’s Office, registration number A8289455 and address 31, Manor Gardens, Guildford, Surrey GU2 9NN. Frances Philpot is the ‘controller’ of the personal data you provide.

·What fpmusic collects and why

When you fill in an application form, fpmusic collects information about each student. This includes their name, date of birth, contact details (also of parents for under 18s), availability, as well as any other relevant information such as medical, dietary, educational needs that may be appropriate for each individual.

Information is also supplemented as necessary to maintain a record of each student’s music education, financial interactions, conversations with parents, note-taking from lessons, photos, recordings, relevant event information, and feedback from third parties eg comments sheet from an exam or music festival.

This personal information is only used so that fpmusic can provide tuition to students, keep them informed of lesson schedules and related services (eg workshops, concerts, holiday lessons etc), and maintain accounts and records as needed. fpmusic will only collect personal data that is needed as outlined above.

·What fpmusic does with it

All the personal information held about students is processed by fpmusic. Relevant details will only be shared with the following third party organisations as needed – exam boards, music festivals, GDPR compliant accounting software, email management software. No other third parties will have access to your personal data unless there is a legal obligation to do so. All reasonable steps are taken to ensure your personal data is processed and stored securely. Any photos/ recordings are only for teaching use unless specific permission is granted to use media in other ways, eg marketing or as part of professional development. 

·How long information is kept

Your personal data will generally be kept for a minimum of 6 years, after which time it will be destroyed if it is no longer required. If you consent to marketing, any information used for this purpose will be retained until you notify fpmusic that you no longer wish to receive it.

·Rights and responsibilities

You have the right to request that your data is amended or deleted at any time. You also have the responsibility for ensuring the data held by fpmusic is accurate and current. You may also give or withdraw consent for the use of photos/ videos. In any case, please inform fpmusic in writing so that up to date records can be maintained. fpmusic will ensure that all current students are made aware of any changes to this Privacy Notice.
